Weather Cancellation & Safety Policy

The safety of all LVWC patrons and players is of the utmost importance. If any of the threatening weather conditions described below are present on the day of the event, the event may be delayed or canceled.

When weather or other physical conditions present a danger to patrons and players, LVWC officials reserve the right to delay, modify, or cancel the event. Less severe conditions may result in schedule adjustments to ensure safety. These types of conditions are considered “Acts of God” and will not result in a refund of any sponsorship fees. If the event is fully canceled and no games are played, LVWC will use reasonable efforts to obtain a refund or credit from the venue owner (City of Bethlehem). To the extent such a refund or credit is received, LVWC will offer teams a proportional refund or credit of team entry fees.

 

Threatening Weather Conditions

The event may be delayed or canceled at the final discretion of LVWC Captains/Officials, using, but not limited to, the following criteria as guidelines:

  • A Winter Storm Warning issued by the National Weather Service is in effect for the event day.

  • Significant snowfall in excess of 24" occurs within 36 hours prior to the event.

 

LVWC reserves the right to consider additional safety factors (e.g., dangerous travel conditions, extreme cold, or other hazardous weather) when making final determinations.


Event Delay

The start of the event may be delayed by up to 120 minutes from the posted start time if any of the above conditions exist or are actively developing.

If the event is delayed:

  • Ice slots and/or game lengths may be shortened or the schedule adjusted as needed.

  • No refunds will be issued for delays, schedule modifications, or shortened games.

 

Facility/Rink Issues

The event is contingent upon the Earl E. Schaeffer rink being operational and safely usable.


The event may be delayed, modified, or canceled if any major facility issue occurs that, in the judgment of LVWC officials, prevents a safe event, including but not limited to:

  • Structural or roof issues

  • Ice surface failure (e.g., ice melting, unsafe ice conditions)

  • Major mechanical breakdown (e.g., Zamboni failure, refrigeration failure, significant power outage)

  • Any other facility condition that creates an unsafe environment for players, officials, or spectators

 

These circumstances will be treated as Acts of God and are subject to the same refund/credit provisions outlined above.


Refund Summary

  • Sponsorship Fees: Non-refundable in the case of delay, modification, or cancellation due to Acts of God.

  • Team Entry Fees: Refunded only if the event is fully canceled and no games are played.
